Terms & Conditions

By booking or attending a retreat featured on this website, you agree to the following terms and conditions.

1. All bookings and payments will be made directly with ARC on their website (www.arc.club). 

2. Booking confirmation and queries will be confirmed and dealt with by ARC directly with the guest.

Cancellation and Refund Policy

We understand that unexpected changes can arise. Due to the nature of retreat planning including accommodation, facilitators and venue costs, our cancellation policy is as follows:-

Deposit and Payments

3. A deposit of £150 is required to secure your place. This deposit is non-refundable under all circumstances.


4. The balance can be paid in full or instalments. i.e., If you book by 31 Aug, instalment payments will need to be made on 1 Sept 2026, 1 Oct 2026, and 1 Nov 2026. If you book after 1 Sept, we will take two equal payments on 1 Oct and 1 Nov 2026. 


5. An Early Bird Discount of £200 will be applied to the first 10 bookings received up to and including 30th September 2026, and will be deducted from the total value of your booking at the start of your payment schedule. Early Bird Discount places are limited to 10 places only, and thereafter, any subsequent bookings by guests will have to pay the full amount. You will be notified at the time of booking if the Early Bird Discount applies to you on ARC’s website.


6. Failure to pay the full balance by the first day of the month of the booking will result in your booking being cancelled and your spot may be offered to someone else on the waiting list. 


7.If you cancel up to 30 days before the start of the retreat, you will receive a full refund of monies paid, less the £150 non-refundable deposit.


8. If you cancel after 30 days before the start date of your retreat you will forfeit all payments made including the deposit. No refunds or credits will be issued regardless of reason, including illness or personal emergencies.


9. You may request to transfer your reservation to another individual up to 5 calendar days before the retreat start date. All transfer requests must be submitted in writing and are subject to approval and at the discretion of the organiser.


10. No refunds or credits are provided for no-shows, late arrivals, or early departures.


Force Majeure and Unforeseen Circumstances

11. ARC (Architecture Retreats Ltd) and third parties facilitating the activities are not liable for any delay, cancellation, or alteration of the retreat due to circumstances beyond reasonable control. This includes, but is not limited to, natural disasters, acts of God, war, terrorism, civil unrest, labour strikes, pandemics, government restrictions, public health emergencies including COVID-19, travel bans. or airline/train cancellations. In such cases, no refunds will be issued. Participants may be offered a credit equal to the amount paid, excluding deposit, which may be applied to a rescheduled or future retreat within 12 months, subject to availability


Health and Illness

12. Participants are responsible for ensuring they are in good health and medically fit to participate in any activities whilst on a retreat. If you have any medical conditions, injuries or dietary requirements, please inform the retreat before booking. No refunds or credits will be provided if you are unable to attend due to illness, including testing positive for COVID-19, or for any related travel disruptions


13. Guests are responsible for arranging their own travel. We recommend taking out insurance to cover cancellations, medical expenses and personal belongings.


14. Participation in retreat activities is at your own risk. We accept no responsibility for any injury, illness, loss or damage incurred during your attendance.


Changes to venue and itinerary

15. Retreat organisers reserve the right to amend schedules, instructors, venues, or activities due to unforeseen circumstances, weather, or safety considerations.


16. Accommodation and facilities vary by retreat and will be detailed by the organiser at the point of booking. Any special requests should be made directly with them. 


Imagery and Promotion

17. During the retreat there may be limited photography and filming taken for promotional purposes, and you will be asked on arrival to complete an Image Release Form to provide your agreement for your image to be used by ARC and/or retreat partners on their website, newsletters and social media.  If you prefer not to be photographed or filmed, please inform ARC (the organiser) when you arrive at the venue. Every endeavour will be made to not include you in group photography. 


Behaviour and Etiquette

18. We want everyone to enjoy their retreat experience. Alcohol is permitted. Guests are expected to behave respectfully at all times towards fellow attendees, instructors. and staff. Organisers reserve the right to ask anyone behaving inappropriately to leave without a refund.


19. We make every effort to ensure retreat information is accurate at the time of publication. However, details such as prices, dates, availability, and itineraries may change. Please check Arc's website for the latest information before booking.
